Feedback Summary

A Feedback Summary provides a capture of the Feedback that occurred on an Asset.  

Some ways they can be used are:

  • To communicate change requests to the team responsible for making those changes
  • To capture a PDF of all the Feedback in the review and approval cycle to store with the final approved asset

Feedback summaries can be generated at many organizational levels of ConceptShare and will include information relevant to that level and the options selected.  For instance, a Project Level Feedback Summary captures the Feedback for all Reviews, and Assets contained in the Project, whereas a Feedback Summary generated from an Asset will capture the feedback and information specific to that Asset.

Choose which level you will create your Feedback Summary from:
Project

To create a Project Feedback Summary, open the Projects dashboard.

Check mark the box beside the name of a Project and click on the Actions button. Select Create Feedback Summary from the drop down list.



Or click on the specific Project from the Projects dashboard to open it. Click on the Info tab at the top of the screen. Click on the Action button and select Create Feedback Summary from the drop down list.

This will open the Dialogue box that will allow you to customize your Summary, or simply click create if no customization is needed.

Deliverable

Navigate to and open your Project.

Click on the Deliverables tab.

Click on the check box for the desired Deliverable and click on the Actions button. Select Create Feedback Summary from the drop down list.



This will open the Feedback Summary dialogue box to allow you to customize your summary, or simply click create if no customization is needed.

Review

Select Projects from the Navigation Panel, Click on the Name of your Project to open it. Once you have opened your Project, click on the Reviews Tab.

Click on the check box next to the Review. Click on the Actions button. Select Create Feedback Summary from the drop down list.



This will open the Feedback Summary dialogue box to allow you to customize your summary, or simply click create if no customization is needed.

Asset

Select Projects from the Navigation Panel, Click on the Name of your Project to open it.

Once you have opened your Project, click on the Assets Tab.

Click on the check box next to the Asset. Click on the Actions button. Select Create Feedback Summary from the drop down list.



This will open the Feedback Summary dialogue box to allow you to customize your summary, or simply click create if no customization is needed.

With the Feedback Summary dialogue box open, default options will be selected; you may update the options to suit your needs from the Summary, Asset, Feedback and Delivery tabs of the dialogue.

Include Assets with no Feedback: This can be important to enable if no comments were made on a given asset and it's presence still needs to be recorded in the summary.

Break page before each asset: When the summary will include multiple assets this allows you to segment the summary for ease of reading

Include page numbers: For longer summaries this can be crucial for tracking, or referencing particular changes that were made.

Asset Settings

Include general comments: This will include or exclude the Feedback that resources offered on these assets.

Include previous versions: If the asset(s) was versioned this will allow you to capture Feedback and Responses on both the current and previous versions

Review Information: If there were reviews generated for this item, this will capture the settings of the review and the individual responses received during the review.

Upload Information: If the particulars for your asset are important, such as person uploading the item, upload date and time, and number of pages, be sure this is selected.

Custom Form Information: For Enterprise Edition customers this will allow you to include the meta data that you entered for the Asset(s).

Folder Path Information: If there is a hierarchy of folders this information will help delineate which item is which by listing the folders.

Break page before each feedback item: This allows you to segment feedback to individual pages to make it easier to read and/or assign the changes that need to take place.

Only Feedback with User Replies: This will allow you only include comments that had an ongoing conversation.

Only Feedback with Reference Links: If the reference link tool was used this will pull only those comments.

Only Unread Feedback: This allows you to quickly pull items that are new to you.

Only UnFlagged Feedback: This can be toggled to Only Flagged Feedback.  Further, you can opt for Any Flag to be included or specific flags by selecting from the +.

Only Unresolved Feedback: This can be toggled to Only Resolved Feedback.  Further, you can opt for Any Resolution to be included or specific resolutions by selecting from the +.

Only Feedback submitted by: If you are looking for feedback from a particular reviewer you can filter on their name.

Only Feedback that matches: Provide a criteria to filter the comments by. The criteria is not case sensitive, it is looking for the exact text (quotation marks not required).  !Note: it will not support wildcards.

Sort feedback items by:

  • Document page/Video timeline: - in order as viewed on the asset
  • Date Created: Comments will be organized by their timestamp
  • Number of replies: Leverages a popularity based criteria to highlight items that generated the most/least conversation
  • User Name: Gather feedback items based on who submitted them

Sort Order: Then you can opt to have your sort variable organized in either Ascending or Descending order.

!Note: All of these criteria are AND criteria and each selection will reduce the number of feedback items included in your summary.  For instance, if you selected Unread AND Reference Links and you then read a piece of Feedback with reference links before generating the summary, that comment would not be included as it would no longer be unread.

!Note:  The content of any Feedback Summary will match a user's permissions assigned in ConceptShare. A user who is not able to see Replies for example, will not have Replies included in a Feedback Summary that they request.

Delivery Settings


Send an email with a link when it's done: This allows you to continue your work and the summary will be delivered to you.

Sample Email:

Download now: This option will have you wait and then prompt you when the summary is ready to click OK and the PDF summary will open.

I don't need a copy, Send email to: There are times when you don't personally need a copy of the summary.  In this case you can email the summary to someone else.  Add the Recipient(s) (multiple recipient emails should be separated by a comma), add a Subject Line (take some care with the phrasing to reduce the likelihood of it getting caught by the recipient's filters), then add a Message to let the recipient know why they are receiving the summary and what, if any, action is expected of them.

 

When you are satisfied with the selected options, click the Create button at the bottom of the Create Feedback Summary dialogue box. Your Feedback Summary will be generated and delivered appropriately. 

 


 Congratulations! 

You have created a Feedback Summary in ConceptShare. Deliver this to your Production Team to make changes to the Asset, or store it in your DAM to track the changes that were requested and executed to create your final approved Asset.
