Account Settings

Account Settings are the basic configuration decisions you make on your ConceptShare Account.  They allow you to control everything from the standard date and time format, to how frequently users need to refresh their passwords.

Setting these values appropriately will ensure the default usability settings are established as you create new users. 

Depending on your Account Role, you may or may not be able to view or edit Account Settings.  Check with your Account Administrator for more information.

Accessing your Account Settings

Click on the Gear wheel at the top of the screen.  Click on the Settings option.


What do all the Settings Mean?

Proofing Workspace (previously Annotator): This setting allows you to control how ConceptShare plays videos within the Proofing Workspace.  Toggling this to On will action all videos to play over and over again in a continuous loop in the Proofing Workspace.


Disable ALL email notifications: controls every Email Notification sent from the application.  If this is toggled to Off, users will need to login to the application periodically to determine what work is pending.

Send a welcome email to new users when they are added to the account.

A welcome email invites the user to setup their password and accept the Terms and Conditions to access ConceptShare.

Send an email to users when they request a re-invite to the account

If an existing user has not accepted the Terms and Conditions yet they will need an invitation link to complete them.

Send an email to users when they request password reset
Password resets are typically done via email.  If your user passwords are managed centrally (by a Single Sign On integration for instance) you would want to eliminate this possibility.

Send an email to new account users when they request a re-invite

If a new user has not accepted the Terms and Conditions yet they will need an invitation link to complete them.

Send a re-confirm email to users when they update their email address

Any update to the user name (email address) needs to be confirmed by the original email before the change takes effect.  Without this confirmation email the user name can not be updated from the UI.

Send an email to users when they are added to a project

Send an email to project members when a new asset is uploaded

Send an email to project members when an asset is versioned

Send an email to project members when a comment is published for an asset

Send an email to comment thread participants when a new reply is published

Send an email to users when they are added to a review

Send an email to review members when the review details have changed

Send an email to review members when the review has been deleted

Send an email to review members when one of the assets under review is versioned or a new asset is added to the review

Send an email to the review owner when a review member completes the review task

Send an email to users when a to-do is assigned to them

Send due date alert emails to to-do assignees (when configured for their to-dos) (grandfathered function)

Send due date alert emails to review members (when configured for their reviews)

Send digest email to users about multiple asset uploads

Send digest email to users about multiple comments published to assets in projects

Send authenticated URLs in emails so recipients can log in to ConceptShare automatically

Allows a user to click on a link in a Notification Email to open a Project, Review, etc. without requiring a login.  Toggling this to Off means a user would be required to login before participating in any tasks in ConceptShare.  Caution is needed because forwarding the authenticated link will allow others to login directly with the original user's credentials


Date Format: Set the standard date formats.  See the dropdowns for the options.

Home screen: Where users will begin navigating from when they login to ConceptShare from the main login page.  The options are the Work Screen, the Activity Feed, or the Project listing.

Default Language: Set the default language (English is currently the only option).

Default Time Zone: Select the default time zone from the drop down lists.

Enable @ mentions: When used in the Proofing Workspace this will send an email notification to that user who is already in the system when the @Name is used in a comment or reply.  At mentions can also be used in the Activity feed, but no notification is delivered.

@ mentions for teams:  Extends the above permissions to allow teams to be flagged on a given comment.

Tags Enabled:  Permitting Tags allows users creating or editing those items to add tags to them which are searchable items in ConceptShare. Other options allow you to control whether Tags can be added throughout the application (Projects, Deliverables, To-Dos, Assets and more).  We strongly recommend toggling this to On as Tags are a powerful tool to help you search for work in ConceptShare.

Time Format: Set the standard time format.  See the dropdowns for the options.

Login Constraints: help keep your ConceptShare account secure.  Toggling Use Login Constraints to On will enable these for your account.

The other options here allow you to control the number of times a user can fail their password before being locked out and how long they'll be locked out for.

Define how long ConceptShare will track failed login attempts to lock users out of the system. An example would be if you have set the number of time a user can fail their password to "3" and the maximum number of times in     minutes to "60", if a user enters their password incorrectly 3 times in 60 minutes they will be locked out of the system.

Notifications: The Notification Settings allow you to control when a user is alerted by email that changes have been made in the application.  You can control whether users get emailed when new Assets are added, Assets are Versioned, Comments added and replied to, when a user is invited to a Project and invited to the Account itself.

As a minimum, we recommend leaving both the invited to a Project and invited to this account toggled On. The rest are dependent on the volume of Assets and Comments that move through your Account and can be tailored as required.

Password Rules: allow you to set requirements around how user passwords are set.  To enable the Rules, toggle the Enable requirements for users' passwords to On.

Review the password length options - longest password and shortest password - and How many of the four requirements are needed for a valid password.

ConceptShare strongly recommends permitting long passwords as a significant security benefit.  While complexity of a password is an important factor, long passwords are also more difficult to guess than short ones. We recommend that users mix lower case, upper case, numeric and other values in passwords when possible.  Not allowing users to repeat passwords also improves the security of your account.

Polling: controls how ConceptShare behaves when a user is idle for a period of time.  In this section you can control whether Sleep Mode is active, and how long the user has to be inactive before the application goes to sleep.

Render Options: allow you to control how Assets are handled within your account.

Convert all files to support SRGB standard (colour space):  You will likely want this toggled On to ensure consistency across browsers and to improve the speed of image display, but for some use cases there is value to ensuring that if the original is in a CMYK colour space that it is maintained.
Optimize uploaded files for ideal display and speed in web browsers: The second setting controls whether ConceptShare automatically optimizes files for improved display speed in web browsers.  It applies to images only. This is often adjusted when speed is the main consideration.  It specifically: drops DPI/Density to 72dpi, converts to sRGB (if not already), resizes to under 4050x4050.
Render PDF files as raster graphics (IE9 Compatibility mode): This converts all pages of the PDF to images for maximum compatibility. This is why text tools no longer work. This allows IE9 to view the full content of PDFs when using ConceptShare.  Use this if the image portion of the document is not visible to the IE9 users.  This can also be accomplished per asset upload by selecting "Optimize" when uploading individual PDF assets. 

!Note: Text based annotation tools will not be available for the PDFs uploaded as raster graphics.

Save the original, unmodified file so users can download it from ConceptShare: controls whether ConceptShare saves a copy of the original file format every time you upload a file.  Toggling this to On ensures that you can download a copy of the original file directly from ConceptShare at any time otherwise a proxy is generated and that proxy is what is returned if an asset is downloaded from ConceptShare.
As above, these settings can be activated or deactivated simply by toggling the appropriate On or Off setting.

Security: These settings force ConceptShare users to use secure URLs consistently.

UI: The final setting controls whether users can filter their Activity Feeds.  We strongly recommend that you toggle this to On as it allows users to make the best use of the Activity Feed in ConceptShare.

Once you have decided on all of your Settings, remember to click the Save button  to ensure they are retained.



You have configured the default Account Settings in ConceptShare that will apply to each new user created.  If you enable the User to change their own preferences (Account Role: Allow users to manage their own preferences and settings on the account) they'll be able to customize the Proofing Workspace, Date, Time, Landing Page, Notifications, and Render settings for their own profile.
